Valve Material Certificates: Follow the Heat Number to the Part

A material certificate can list the correct grade while the receiving team cannot identify which valve component it belongs to. The certificate exists; the traceability chain is still incomplete.

Useful valve material records connect the ordered requirement, the actual material test unit, the manufactured component and the delivered valve identity. A heat number is a link in that chain, not a complete valve acceptance record.

Start with the component scope in the order

Decide which parts require which inspection documents before manufacture. Body and bonnet, closure element, stem and bolting do not necessarily come from one material batch or one supplier. Requirements can differ by component and project specification.

The purchase order should identify the material standards and grades, required document type, relevant tests and any special traceability requirement. “MTC included” is too short when the buyer expects a specific inspection document for identified pressure-containing parts.

The ISO 10474 publisher description addresses inspection documents supplied under the order for steel products. EN 10204's publisher record concerns metallic-product inspection documentation. Name the applicable system and required type in the order; do not assume that any file called a mill certificate satisfies it.

Build a chain a reviewer can follow

Link Record to retain What a mismatch means
Purchase requirement Order line, component, specification and grade The document may answer a different requirement
Material record Issuer, certificate identity, heat/test-unit reference and recorded results The material cannot yet be identified reliably
Manufactured part Agreed marking or controlled traceability record Correct paperwork may be disconnected from the part
Assembled valve Serial/batch and component association as required A component record cannot be assigned to the supplied assembly
Shipment Packing list and valve/tag mapping The approved assembly cannot be located at receipt

A single heat can supply several components; one valve can contain parts from several heats. A one-certificate-per-valve expectation is therefore not a universal rule. The required association is the important part.

Read more than the grade heading

Compare the material specification, grade, product form, test-unit identity and required condition. Then check that the recorded chemistry and mechanical or other results required by the order are actually present. Heat treatment or impact-test requirements need their own relevant information when applicable.

A chemistry table alone does not establish every mechanical property. A tensile result alone does not establish corrosion suitability for an unspecified chemical. A document number that matches a packing list is helpful, but the part association still needs to be understood.

If the order requires EN 10204 type 3.1 or another defined document, check the required validation and content against the applicable standard and agreed specification. Do not turn a scan with a stamp into a different certificate type merely by renaming its file.

EN 10204 type 3.1 versus type 3.2

Both types include the order-conformity declaration and specific-inspection results. The important difference is the validation arrangement, not an automatic change to a stronger alloy.

Inspection certificate Validation to identify
Type 3.1 The manufacturer's authorised inspection representative, independent of the manufacturing department
Type 3.2 The manufacturer's authorised inspection representative, independent of manufacturing, and the purchaser's authorised representative or the inspector designated by official regulations

The British Stainless Steel Association's explanation describes this distinction. Agree the required type and inspection arrangements before manufacture. Adding an unrelated third-party stamp to an existing file does not establish compliance with the ordered type; the standard, product requirements and actual validation control acceptance.

A fictional receiving discrepancy

Assume a fictional shipment has six valves and three body-material certificates. Five body markings can be mapped to the supplied records, while one marking is unreadable. The sixth valve is not automatically proven to be the wrong alloy. It is also not traceability-approved simply because the other five match.

Record the specific item and missing link. Request the supplier's controlled association and appropriate disposition, or further verification under the agreed procedure. Keep the physical item and its identity intact while the issue is resolved.

Finding Useful action
Correct grade, no component mapping Request the component-to-certificate traceability record
Unreadable marking Identify the affected item and obtain approved resolution
Different material grade Raise a technical deviation; do not silently relabel it equivalent
Test result absent Confirm whether it is required and obtain the relevant record
Duplicate file name Compare document identity and content before treating it as duplication

The process preserves a distinction between a documentation gap and a confirmed material nonconformity.

PMI can support verification without replacing the record chain

Positive material identification can help detect alloy mix-ups. Its usefulness depends on the method, elements measured and component surface. Evident's handheld XRF application note explains that XRF does not directly measure carbon. It cannot by itself establish a low-carbon suffix or prove heat treatment and mechanical properties.

If PMI is part of the order, identify the components and locations, method, acceptance basis and reporting requirements. Keep the result linked to the same valve or part identity. An unlabelled instrument printout creates another isolated document rather than closing traceability.

Do not infer every witness point from “3.2”

The required inspection-document validation and the agreed inspection activities are related, but they are not the same list. A type 3.2 requirement does not, by its label alone, mean that every test must be physically witnessed by the same person. Define the required inspection, witness/hold points, notices and validation arrangement through the applicable requirements and agreed plan.

Also identify what the document covers. A foundry's body-material certificate is not automatically a complete-valve seat-test report. The assembler needs the agreed link from that material record to the part and supplied valve, plus the separately required assembly and production-test records.

For a fictional review, a folder contains a stamped body certificate and an unassigned pressure-test sheet. Keep two open items: validation/applicability of the material document and identity/acceptance of the pressure-test record. Another stamp on the folder does not close either missing link.

Agree the required document type early. Do not assume that renaming an existing file or adding an unrelated third-party logo upgrades its original inspection and validation history.

Use real ZGV materials to define the enquiry

The 2511 ball valve material table lists a WCB body, while the 2512 entry lists an A105 body. The difference is a reason to name the actual configuration and product form, not request one generic carbon-steel certificate for both.

For a ZGV order, ask which material documents are included for the proposed build and how the agreed parts will be associated with the delivered assemblies. Any additional witnessing, document type or testing should be priced and agreed before production reaches that stage.

Use the issuer/manufacturer identity and certificate reference together with the heat or test-unit number. A bare heat number need not be globally unique across different producers. This small record-design choice prevents a receiving spreadsheet from accidentally joining unrelated material documents.

Send the component and document schedule with the enquiry. A clear traceability requirement is easier to fulfil than a late request for more certificates after shipment.
